Marilles Foundation is a private non-profit organisation that works to transform the Balearic Islands into a world reference for marine conservation. Since 2018, we have funded more than 100 projects led by local organisations to improve the Balearic sea and coast. Our mission is to make the Balearic Islands a global example of marine conservation.
The growth of the Foundation has resulted in a greater volume of events and actors and the need to create flexible internal procedures. Hence, we need a technical secretary.
This position is for you if you…
· have at least an undergraduate degree in a related area (e.g. marine conservation, environmental science).
· have an excellent level of oral and written Spanish and Catalan, and a professional level of English.
· know your way around MS Office and Outlook.
· have a working knowledge of database creation and management.
· have strong project management and administrative experience.
· know how to organise an event (book venues, request budgets, send invitations, etc.).
· work well with others and alone with minimal direction.
· have a proactive and entrepreneurial attitude.
· pay attention for detail with a critical eye.
· organise effective meetings, workshops, and events (internal and external).
· write clear, concise reports.
· can manage multiple documents without losing track of the details.
· have effective time management and planning skills.
· can support multiple projects and different personalities and management styles.
· are familiar with drafting administrative procedures.
· appreciate the importance of post-event follow-ups.
· are available to travel around the Balearic archipelago, the Spanish territory, and the Mediterranean region several times a year.
· reside in Mallorca.
· hold a B1 driving licence.
It would be nice if you also have...
· experience in the field of marine conservation, nature conservation, science or the environment.
· professional event management experience.
· technical knowledge related to marine conservation.
· knowledge of more specialised computer program (Canva, Illustrator, etc.)
· a working knowledge of additional languages.
Your job will include...
· designing and implementing an updated common agenda shared with the entire Foundation team, with a special emphasis on the Director’s agenda.
· organising and managing the Foundation's contacts by automating them in a database accessible to all staff.
· creating and automating onboarding processes for new staff.
· being responsible for general internal procedures such as the preparation of minutes and team meetings.
· providing general support for communication, administration, and logistical tasks.
